Clinical record import

Import hospital stays and clinical events into an EnaResearch study from a CSV file or a FHIR R4 Bundle, with a check run first and row-level errors.

Applies to:
  • Admin panel
Last updated: Verified with EnaResearch 0.15.0

Instead of entering clinical records one by one, the study team can import them from a CSV file or a FHIR R4 Bundle. Every row goes through the same rules as manual entry. You always check the file first: invalid rows are not saved and are listed by line number.

Required role

  • A team member with participant management permission, in a study with a clinical record scope.

Import

Open the study → Participants → Import clinical records.

Choose the Format (CSV or FHIR) and upload the File or paste the Content.

Click Check. The summary says, for example, "18 of 20 rows are valid", and Import errors lists each invalid row with its line number.

Click Import N rows to save the valid rows. Fix invalid rows and upload them again.

A file can have at most 5000 rows. Participants are identified by their pseudonym (for example P001); identity data is not read.

CSV columns

ColumnContent
participantPseudonym, e.g. P001 (required)
recordepisode (hospital stay) or event (required)

FHIR R4 Bundle

  • Encounter becomes a hospital stay. Only inpatient (IMP, ACUTE, NONAC) and short-stay (SS) encounters with status finished or in-progress are imported.
  • Procedure becomes a clinical event; the type comes from the https://enaresearch.com/fhir/event-type coding.
  • The participant comes from subject.identifier.value (the pseudonym).
  • Times need at least day precision (YYYY-MM-DD). Other resource types are not supported.

Every import is written to the audit log as a clinical record import.
