Adding participants
Enroll participants in an EnaResearch study - identity details, person matching across the organization, pseudonyms such as P001, and editing a participation.
- Admin panel
Participants are enrolled by the study team in the admin panel. EnaResearch keeps one record per person in the organization and links that person to each study they take part in. In the study, the participant is shown under a pseudonym such as P001; files and the dashboard never show the name.
Required role
- A member of the study team (PI or Co-I).
- The study must be approved (Scheduled or Active) and recruitment must be open.
Enroll a participant
Open the study → Participants → Add participant.
Under Identity, enter the Given name, Family name, Date of birth (Exact date or Year only) and Sex (Female, Male or Not specified). If your organization uses a person identifier, enter it as well; it may be required. See Person identifier.
Under Participation, set the Participation start. Data is included in the study from this moment (plus the study's baseline days, if any). Optionally click Add internal note.
Click Check and register. EnaResearch looks for the person in the organization's records.
If Possible matches appear, choose the person if it is the same one and click Confirm choice; otherwise choose None of these, register a new person. Your choice is written to the audit log.
The participant is registered with the next pseudonym (for example "Registered as P004"), or "Existing person linked to this study as P004" if you chose a match.
How matching works
- If an identifier is entered and it already belongs to a person in the organization, that person is shown with Matched by identifier. A new person cannot be created with the same identifier; choose the person or correct the identifier.
- If the identifier belongs to another person and the name or birth year does not match, registration is blocked until you check the details.
- Without an identifier, people with the same birth date and a similar name are suggested with a similarity percentage.
- Nobody is merged automatically: the researcher always decides.
The participant list
The Participants page lists participants with their pseudonym, status and data signal:
- Not connected: the participant has not finished activation in the app yet.
- No data: a source is connected but no data has arrived, or the last data is older than expected ("Last data …").
Search by name, pseudonym (P001) or participation code (SP…). Click a row to open the participant panel.
Edit a participation
Row menu → Edit participation changes the start and end. Correct identity details fixes the name, birth date or sex; if the person also takes part in other studies, identity cannot be changed from here. Leave the identifier empty to keep the stored one.
Minimum identity only
EnaResearch stores only the identity needed for matching. Do not put national IDs, phone numbers or email addresses in internal notes; the panel warns you if a note looks like it contains one.
