Inviting users
Invite owners and researchers to EnaResearch by email, resend or cancel invitations, change roles and remove members from the organization.
- Admin panel
You give people access to the EnaResearch admin panel by inviting them by email. Once they accept the invitation and set a password (or sign in with an existing account), they become members of your organization with the role you chose. Participants are never invited this way; they get an activation card (see Activation cards and participant access).
Required role
- Users is visible to the Owner role.
- Only an owner can assign or remove the Owner role, remove an owner member or cancel an owner invitation.
Invite a user
Go to Users and click Add user.
Enter the email address and, optionally, the Full name. The name appears in the invitation list and email; it is saved to the person's profile if they have not set a name.
Choose the Role: Owner or Researcher. See Roles and permissions.
Click Add / send invite. The invitation email is sent; the link is valid for 7 days.
The invited person opens the link, sees a page saying your organization is waiting for you and clicks Join. The link was sent only to them and must not be shared. If the invitation has expired, been cancelled or already been used, the page says so.
The user list
The list shows each member's roles and Last activity. The cards at the top count Members, Pending invitations, members Active in last 30 days and members that Needs review (no role, never signed in, or not signed in for more than 90 days). Click a user to see their Study teams: the studies you can see that they belong to.
Manage invitations and members
Use the row menu:
- Resend invite: sends a new invitation link to the same address. Expired invitations cannot be resent; send a new invitation instead.
- Cancel invite: the pending link can no longer be used.
- Edit roles: changes the member's role. The member must sign out and sign in again for the new permissions to apply. You cannot change your own role.
- Remove from organization: the member can no longer access this organization. Their sign-in account itself is kept. You cannot remove yourself.
Keep more than one owner
Approvals, users and organization settings need the Owner role. Keep at least two owners so these tasks are not blocked when one owner is away.
